This privacy policy sets out how The Nicholson Academy of Performing Arts uses and protects any information that you give when you enrol.

The Nicholson Academy is committed to ensuring that your privacy is protected. As a data controller we determine the purpose and means of processing personal data. When information is provided by you, it will only be used in accordance to this privacy policy.
The Nicholson Academy of Performing Arts may change this policy from time to time, but the latest version will be displayed both on our website and studio notice board. Please check the policy from time to time to ensure that you are happy with any changes.

What we collect and how is this information used?

When you or your child joins The Nicholson Academy of Performing Arts, we ask you to complete our registration form which asks for name, date of birth, address, email address, telephone number, different emergency contact number and any medical conditions. The information from this form will be inputted on a GDPR compliant database for internal record keeping. Once this is done your paper form will be shredded. We need this information in accordance to child welfare and protection and also in case we need to contact you in the event of an emergency. We will use your email address to send you class fee invoices each month and any other information that you need to know. We will not use your email address/contact details for direct marketing nor will this information be passed on to third parties.

What do we do with the information we gather?

We require this information to understand your needs and provide you with a better service, and for the following reasons:

Internal record keeping on a GDPR compliant database.
We may use the information to improve our products and services
For students taking part in competitions, examinations and events, name, date of birth may need to be shared with the organiser/local council/examination board for the event.
How long do we keep the data?
Consent for photography and filming plus examination results will be kept indefinitely. All other sensitive data will be archived on our GDPR database when any contractual agreements come to an end.

Access to your data
Here at The Nicholson Academy of Performing Arts we understand the trust that you have in us with your personal and child’s data and we are committed in it’s security and privacy. You have the right to request a copy of the information we hold about you. If you would like a copy of some or all your personal information, please email or write to us. We want to make sure that your personal information is accurate and up to date. You may ask us to correct or remove information which you think is inaccurate. You may request details of personal information which we hold about you under the Data Protection Act 1998.

Database
The Nicholson Academy of Performing Arts use DanceBiz a GDPR compliant CRM system to maintain records, invoices and for contractual emails in accordance to performing arts school activities.

On leaving school, your details are deactivated and archived. Should you wish these to be deleted you will need to write to the school and request this action. Archived details are kept for legitimate business purposes such as fraud and proof within legal cases.

Marketing
If you have consented to receive online e-marketing, you may opt out at a later date. You have the right at any time to stop us from contacting you for marketing purposes by clicking on the unsubscribe button at the bottom of the email.

Security
We are committed to ensuring that your information is secure. In order to prevent unauthorised access or disclosure, we have put in place suitable physical, electronic and managerial procedures to safeguard and secure the information we collect online, in transit and storage.

How we use cookies
A cookie is a small file which asks permission to be placed on your computers hard drive. Once you agree, the file is added and the cookie helps analyse web traffic or let you know when you visit a particular site. Cookies allow web applications to respond to you as an individual.
